How Can Manufacturers Eliminate Duplicate Asset Records Across Systems?

In a modern manufacturing facility, asset information rarely lives in one place. An equipment record may exist in the ERP system for procurement and financial tracking, in a CMMS for maintenance, in an EAM platform for lifecycle management, in an MES for production, and in spreadsheets maintained by individual teams.

The problem begins when these systems do not share a common asset identity.

A single machine may appear as “CNC-001” in the CMMS, “CNC Machine 01” in the ERP, and “CNC01” in a spreadsheet. To the systems, these can look like different records. To the maintenance team, however, they are all the same physical asset.

Over time, these duplicate and inconsistent records can make maintenance history unreliable, create reporting discrepancies, and make it difficult to understand the actual condition and cost of an asset.

For manufacturers, eliminating duplicate asset records is therefore not simply a data-cleaning exercise. It is an important part of creating reliable asset and maintenance data.

What Are Duplicate Asset Records?

A duplicate asset record occurs when the same physical equipment is represented by more than one digital record, either within the same system or across different systems.

Some duplicates are obvious. For example, a pump may accidentally be entered twice in a CMMS. Others are harder to identify because the records contain slightly different information.

Consider a machine with the following records:

  • Asset 001: CNC Machine – Line 1
  • Asset CNC-01: CNC Machining Centre
  • Equipment 4582: Haas CNC – Production

If all three refer to the same physical machine, the organization effectively has three digital identities for one asset.

Duplicates can also emerge during system migrations, when importing legacy spreadsheets, after equipment relocation, or when a replacement machine is added without properly retiring the old record.

Why Do Duplicate Asset Records Occur?

What Problems Do Duplicate Asset Records Create?

Eliminating duplicates requires more than deleting similar-looking records. Manufacturers need a structured approach that combines standardization, data validation, system integration and ongoing governance.

1. Establish a Unique Asset Identification Standard

Every physical asset should have a unique and consistent identity.

Manufacturers should establish clear rules for creating asset IDs and decide which attributes should be used to identify equipment. Depending on the asset type, this could include the serial number, manufacturer, model, plant, location, equipment category and parent asset.

2. Maintain a Central Asset Master

Manufacturers should establish an authoritative asset master that acts as the trusted reference for equipment information.

The asset master should contain essential information such as:

  • Asset ID
  • Asset name and type
  • Manufacturer and model
  • Serial number
  • Location
  • Parent/child relationship
  • Installation details
  • Criticality
  • Current status

Other systems may still maintain information relevant to their own processes, but the fundamental identity of the asset should remain consistent.

This creates a single source of truth for asset information and reduces the likelihood of different teams creating competing records.

3. Standardize Naming, Classification and Asset Hierarchy

Unique IDs alone are not enough.

Manufacturers should also define standards for asset names, equipment categories, locations and classifications. For example, all compressors should follow a consistent naming convention rather than allowing every department to use its own terminology.

An asset hierarchy is equally important. Equipment should be connected logically to the plant, area, production line and parent equipment where applicable.

This allows teams to distinguish between similar assets and understand exactly where a particular asset belongs.

4. Validate Before Creating a New Asset

One of the most effective ways to reduce duplicates is to prevent them at the point of creation.

Before a new asset record is created, the system or process should check whether a similar record already exists using information such as:

  • Serial number
  • Asset ID
  • Manufacturer
  • Model
  • Location
  • Equipment type

If a matching record already exists, the user can update the existing asset rather than creating another one.

This changes the approach from cleaning duplicate data after the problem occurs to preventing duplicate data from entering the system in the first place.

5. Connect Systems Instead of Maintaining Isolated Asset Data

Integration becomes increasingly important as manufacturing organizations use more digital systems.

ERP, CMMS, EAM, MES and other platforms should be able to exchange relevant asset information. When systems operate independently, the same asset information often has to be entered repeatedly.

That increases the chances of inconsistencies.

With connected systems, asset information can be synchronized according to defined ownership and data rules. A change in an asset’s location, status or other master information can then be reflected where required.

The goal is not necessarily to put every piece of information into one application. The goal is to ensure that different applications recognize the same physical asset as the same asset.

Digital records should ultimately correspond to physical equipment on the shop floor.

A unique QR code attached to a machine can provide technicians with direct access to its authorized digital record. Instead of searching through multiple similarly named assets, the technician can identify the physical machine and access the corresponding asset information.

Periodic physical verification can also help manufacturers identify records for equipment that has been relocated, retired, replaced or incorrectly entered.
